Client Services Supervisor

About Parkland Food Bank (PFB): At PFB, our mission is to make healthy food accessible to residents of Spruce Grove, Stony Plain, and Parkland County. As the fifth largest food bank in Alberta, we anticipate continued growth in both client usage and facility over the next three years. Our commitment revolves around being responsive to client needs, with a strong reliance on local community support and engaging volunteers to fulfill our mission.

With the support of our volunteer workforce, PFB Client Services is responsible for managing an average of 4000 phone calls and 900 client visits a month.

Job Duties

As a Client Services Supervisor, you will collaborate with the rest of the Client Services Team to oversee all Call Center and Client Care activities. Your primary duties include:

  • Registering new clients and conducting yearly profile reviews for existing clients.
  • Referring clients to other community resources as necessary.
  • Booking client appointments via phone, online booking systems, or walk-in.
  • Printing daily orders and ensuring their readiness for volunteers.
  • Providing daily client schedules .
  • Training and supervising Call Center volunteers.
  • Training and overseeing Client Care volunteers in welcoming clients and managing the client shopping area.
  • Performing any other duties as required.

Qualifications

  • Strong collaboration skills.
  • Demonstrable phone skills in a challenging environment.
  • Attention to detail and thoroughness.
  • Sensitivity and understanding.
  • Patience and ability to remain calm in stressful situations.
  • Excellent verbal and written communication skills.
  • Ability to prioritize duties and effectively navigate a fast-moving environment with frequent interruptions.
  • Answering a high volume of calls professionally and efficiently.
  • Ensuring the privacy of clients and dealing with sensitive data appropriately.

Education and Experience

To be successful in this role, you should have:

  • 2-3 years of work experience in customer service-focused roles or social work.
  • Experience in an inbound call center environment is an asset.
  • A post-secondary diploma is preferred; High school diploma will be considered.

Working Conditions

This position involves a mix of deskwork and standing.

This is a temporary six month maternity leave position.

This is a part-time position, averaging 18-25 hours/week.

While hours may be adjusted to accommodate the needs of the Society (ex: training, staff meetings, covering for other staff holidays) possible hours of work for this position could be:

  • Monday – Saturday

A typical work would be:

  • Wednesday’s 3pm -9pm
  • Thursday’s 9 am – 3pm
  • Friday’s 8:30am – 4:30pm
  • Saturday’s 8:30am – 1:00pm

Hourly Rate:  $22.50

Join our team and lead initiatives to enhance support provided to food bank clients, ensuring efficient and compassionate support for those in need. We are searching for a compassionate individual motivated by addressing food insecurity in the community.

The Client Services Manager will play a pivotal role in optimizing day-to-day operations related to food bank client services, fostering positive client relationships, and providing support to our Clients Supervisor staff members.

Responsibilities:

Client Relationships:

  • Serve as the point of contact for food bank clients with complex needs.
  • Address food bank client concerns promptly, ensuring a positive and empathetic experience.

Supervision and Mentorship:

  • Oversee and provide mentorship to the Client Services Supervisors.
  • Ensure the team is equipped to handle day-to-day client service operations effectively.

Stakeholder Coordination:

  • Collaborate with internal and external stakeholders to enhance the overall client experience.
  • Actively engage with the community and local partners to expand the food bank’s reach.

Data Collection and Analysis:

  • Collect and analyze client-related data to inform decision-making.
  • Identify trends in demand, improve resource allocation, and develop targeted outreach programs.

Crisis Management:

  • Play a crucial role in adapting operational strategies during crises or increased demand.
  • Collaborate with the executive team for broader crisis management and strategic planning.

Internal Communication:

  • Act as a liaison between frontline staff and the executive team.
  • Ensure smooth communication channels, streamlining internal processes for a cohesive organizational culture.

Qualifications:

  • Bachelor’s degree in Social Work required.
  • Community Support Worker Diploma will be considered.
  • Proven experience in human support services, operations management, or related roles.
  • Strong leadership and mentorship skills.
  • Excellent communication and interpersonal abilities.
  • Analytical mindset with the ability to interpret data and make informed decisions.

Job Type:

Full-time (40 hours per week)

Hours of work may vary and can include evenings and weekends.
