Parkland Food Bank Society is seeking a motivated and experienced Operations Manager to oversee daily operational activities, foster team development, and ensure the seamless management of logistics, facilities, and warehouse operations. This role is integral to advancing our mission of serving the Tri-Region community of Spruce Grove, Stony Plain, and Parkland County.

This is a full-time position with 40 hours a week Monday through Friday. The hours of work for this role are typically 8:00am to 4:00pm, but there will be the requirement to work occasional evenings and weekends and as needed for meetings and special events.

Position Summary

Reporting directly to the Executive Director, the Operations Manager will be responsible for the direction, coordination, and implementation of logistics operations, ensuring alignment with the organization’s strategy, commitments, and goals. The individual will work in office and on the warehouse floor as required. The role may entail occasional travel around Spruce Grove and Stony Plain and the incumbent may be required to drive the Food Bank Van as required

Duties and Responsibilities

  • Provide department updates to the Executive Director, attend the Annual General Meeting (AGM), and maintain a team relationship with board members.
  • Schedule and assign tasks to department staff, manage performance, provide mentoring and training, and promote a collaborative and inclusive team culture.
  • Act as a communication liaison between the Executive Director and department staff, and conduct regular team meetings and check-ins.
  • Ensure all staff and volunteers complete required safety training, implement and oversee the Health and Safety Program, and conduct emergency drills and safety inspections.
  • Track food distribution and operational supplies, prepare and manage the annual budget, and analyze logistics costs and strategies.
  • Optimize warehouse, facilities, and fleet operations, and align logistical operations with organizational goals.
  • Monitor department performance metrics, develop improvement plans, and create contingency plans for supply chain disruptions.
  • Ensure compliance with Food Safety and AHS requirements, and maintain transportation and vehicle safety regulations.
  • Oversee the Food Hub and Food Rescue programs, and identify opportunities to expand these programs.
  • Maintain strong relationships with Food Rescue grocery stores, restaurants, Food Hub Agencies, and community partners, and ensure logistical execution for PFB-hosted events.
  • Other duties may be assigned as required.

Qualifications

  • A minimum of a Diploma in Business Administration, Management, is required.
  • Training in Warehouse Operations is considered an asset.
  • 3-5 years of proven experience in a lead, supervisor, or manager role dealing with large diverse teams is required.
  • A combination of education and experience may be considered.
  • Excellent communication and organizational skills.
  • Knowledge of safety and compliance regulations.
  • Strong leadership skills to motivate and foster a positive work environment.
  • Superior analytical skills with a high attention to detail to identify inefficiencies and implement improvements.
  • Proven project and time management skills for planning, execution, and monitoring.
  • Proficiency with Microsoft 365  applications.
  • May be required to lift heavy objects up to 20kg.
  • May require overtime or working long hours.

Client Services Supervisor

About Parkland Food Bank (PFB): At PFB, our mission is to make healthy food accessible to residents of Spruce Grove, Stony Plain, and Parkland County. Our commitment revolves around being responsive to client needs, with a strong reliance on local community support and engaging volunteers to fulfill our mission.

With the support of our volunteer workforce, PFB Client Services is responsible for managing an average of 4000 phone calls and 1000 client visits a month.

Job Duties

As a Client Services Supervisor, you will collaborate with the Client Services Manager and the rest of the Client Services Team and help with the coordination of Client Care activities. Your primary duties include:

  • Registering new clients and conducting yearly profile reviews for existing clients.
  • Referring clients to other community resources as necessary.
  • Booking client appointments via phone, online booking systems, or walk-in.
  • Printing daily orders and ensuring their readiness for volunteers.
  • Providing daily client schedules for the Warehouse Supervisor and Volunteers.
  • Training and supervising Call Center volunteers (when available).
  • Training Client Care volunteers in welcoming clients as they navigate through the client shopping area.
  • Performing any other duties as required.

Qualifications

We are seeking an individual with:

  • Ability to manage, coach, and provide training.
  • Strong collaboration skills.
  • Demonstrable phone skills in a challenging environment.
  • Attention to detail and thoroughness.
  • Sensitivity and understanding.
  • Patience and ability to remain calm in stressful situations.
  • Excellent verbal and written communication skills.
  • Ability to prioritize duties and effectively navigate a fast-moving environment with frequent interruptions.
  • Answering a high volume of calls professionally and efficiently.
  • Ensuring the privacy of clients and dealing with sensitive data appropriately.
  • Commitment to ensuring a positive working environment.

Education and Experience

To be successful in this role, you should have:

  • 2-3 years of work experience in customer service-focused roles.
  • Experience in an inbound call center environment is an asset.
  • Post-secondary diploma is preferred: High school diploma, will be considered

Working Conditions

This position involves a mix of deskwork and standing.

This is a part-time position, averaging 18-24 hours/week.

While hours may be adjusted to accommodate the needs of the Society (ex: training, staff meetings, covering for other staff holidays) possible hours of work for this position could be:

  • Monday – Saturday

A typical work week would be:

  • Wednesday’s 3:30 pm – 9:00 pm
  • Friday’s 8:30 am – 4:30 pm
  • Saturday’s 8:30 am – 1:00 pm

Hourly Rate: $22.50
